This Privacy Policy (“Policy”) explains how UControlBilling and its affiliated entities, subsidiaries, and parent entities (collectively, “UControlBilling,” “we,” “us,” or “our”) collect, use, disclose, retain, and safeguard information obtained from you through our websites and services, including www.ucontrolbilling.com, and any other websites, pages, forms, or online services that link to this Policy (collectively, the “Sites”).

UControlBilling is a New York-based medical billing and Revenue Cycle Management (RCM) company providing services to healthcare providers in the United States.
2. HIPAA / Business Associate Notice
UControlBilling may process data on behalf of healthcare providers under agreements we have with our customers. These agreements may require execution of a Business Associate Agreement (“BAA”) pursuant to the Health Insurance Portability and Accountability Act of 1996 (“HIPAA”).
Your healthcare provider may maintain its own policies and practices regarding collection and use of your information, including PHI. We are not responsible for how a healthcare provider handles your information, and we recommend reviewing your provider’s privacy policies and Notice of Privacy Practices.

UControlBilling provides medical billing and revenue cycle services that may include, without limitation:
- Medical Billing & Revenue Cycle Management (RCM)
- Claims Submission, Payment Posting, and Denial Management
- Accounts Receivable (A/R) Follow-Up
- Coding support (where applicable)
- Credentialing / enrollment support (where applicable)
- Reporting and billing analytics

“Personal Information” generally means information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked with an individual or household.

B. Protected Health Information (PHI)
When providing medical billing services, we may process Protected Health Information (“PHI”) on behalf of healthcare providers in compliance with HIPAA and any applicable BAAs and laws.
C. Automatically Collected Information (Website/Device Data)
When you visit our Sites, we may automatically collect:

- Browser type and version
- Device type and identifiers
- Approximate geolocation derived from IP address
- Referring pages and pages visited
- Date/time and interaction data related to site usage

If you submit a form on our website (e.g., “Contact Us” or a lead form), you are requesting to be contacted regarding your inquiry. Our follow-up is typically via phone and/or email.
B. Client Communication After Contracting
Once you become a contracted client, we may communicate regarding service-related matters through phone, email, and (where consent exists) SMS.
C. No Marketing Texts
We do not send promotional or marketing SMS messages.
D. SMS Consent and Opt-Out
Where legally required, we obtain consent before sending SMS messages. You can opt out at any time by replying:

E. Do Not Submit PHI via Website Forms
Do not submit PHI through general website forms. If PHI must be exchanged, we will use secure methods consistent with HIPAA obligations and our client agreements.
8. How We Disclose Information
We do not sell Personal Information for money.
We may disclose Personal Information for legitimate business purposes to:
- Service Providers/Vendors who help operate our business (e.g., hosting, communications, analytics, security), subject to confidentiality and data protection obligations
